Why Do You Actually Need an Asset Management System?

Here's a question that makes asset managers squirm: "Do you have an asset management system?"


The answers I hear are fascinating. Some people point to their CMMS. Others mention their asset register, or that maintenance schedule they update every quarter. A few will proudly show me their shiny new EAM software.

And here's the uncomfortable truth: none of those things are an asset management system. They're tools. They're data. They're useful. But they're not a system. And that gap? It's probably costing your organisation more than you realise.


Let's Start With What an Asset Actually Is

Most people think "assets" means physical stuff—pumps, buildings, vehicles, machinery. But ISO 55000 defines an asset as "an item, thing or entity that has potential or actual value to an organisation." That's much broader than equipment.

Your assets include information (performance data, costs, market intelligence), financial resources (capital, lifecycle budgets), intangibles (reputation, stakeholder confidence), and even your people (competence, experience, leadership). The critical point? Assets exist to deliver value. They're solutions to needs. Without that value lens, you're just administering equipment—not managing assets.


The Difference That's Costing You Money

Every organisation manages its assets somehow. But there's a world of difference between managing assets and having an asset management system. One is reactive, fragmented, and often invisible until something breaks. The other is deliberate, connected, and designed to deliver results.

A management system—according to ISO 55000—is a "set of interrelated or interacting elements to establish policies and objectives, and processes to achieve those objectives." Translation? You need clear purpose, documented procedures, capable people, meaningful measures, and continuous improvement—all working together. Miss any of these elements, and you've got gaps. Gaps lead to reactive decisions. Reactive decisions cost money.


What Does an Asset Management System Actually Give You?

Assurance. That's the real value. An asset management system gives you confidence that you'll meet agreed service levels, achieve value for money, hit your lifecycle cost targets, and satisfy your risk profile around safety, reliability, and reputation.

Without a system, you're hoping. With a system, you're managing. ISO 55000:2024 lists the benefits: improved financial performance, better decisions, managed risk, greater stakeholder confidence, improved efficiency, better coordination, and more value from innovation. These aren't aspirational—they're achievable. But only if you have a genuine system connecting your boardroom strategy to your workshop actions.


The Question You Should Be Asking

So here's my challenge to you: Take an honest look at what you've got. Do you have software, spreadsheets, and schedules? Or do you have a coherent system that links stakeholder expectations to organisational objectives, translates those into asset decisions, and provides assurance that value will be realised across the lifecycle?

If you're not sure, that's actually a good starting point. Awareness of the gap is the first step to closing it.
